Waivers
Last updated April 2026
Important legal notice: The default DugoutIQ waiver template is a starting point only. It is not legal advice. Have an attorney licensed in your state review your waiver before your tournament.
What the waiver covers
The DugoutIQ waiver template includes:
- Acknowledgment of activity risks
- Release of liability
- Assumption of risk
- Medical authorization
- Photo and media release (opt-out available)
- COPPA data collection notice
- Code of conduct
What to customize
You should change:
- Organization name — replace [ORGANIZATION NAME] throughout
- Tournament-specific details — dates, venues, division names
- Photo release section — include or remove based on your preference
Do not change:
- Section 9 (Data Collection Notice) — required for COPPA compliance
- The signature block — required for enforceability
At-risk states
Courts in some states significantly limit the enforceability of liability waivers signed by parents on behalf of minors. If your participants include players from any of these states, attorney review is especially important:
California · New York · Florida · Virginia · Louisiana · Montana · New Mexico · Wisconsin
Editing your waiver
Go to Settings → Waiver to edit your waiver text. The editor shows a live preview of the waiver as parents will see it. Use the Waiver Editing Guide (shown above the editor) to understand what to customize and what to keep.
How parents sign
When a coach adds a player to their roster, the system automatically sends a waiver invitation email to the parent or guardian on file. Parents click the link and sign digitally — no account required.
A PDF receipt is stored securely and accessible to you in the Registrations section.
COPPA notice
For players under 13, parents see an additional COPPA-specific disclosure before signing. This is automatically shown based on the player's date of birth — no action required from you.
